Summary:

This position will be responsible for providing administrative support to the executives and other members of the Crude commercial and business development group. 

Essential Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The essential job duties for this position are listed below:

  • Performs work that requires a high level of confidentiality in all aspects of position
  • Schedules appointments and meetings
  • Arranges domestic and international travel arrangements and prepares itineraries
    • Anticipates travel requirements and confirms frequently if any assistance is required related to travel planning
  • Coordinates training, special functions, meetings and/or conferences by coordinating room arrangements, refreshments and equipment/supplies
  • Coordinates customer outings at both internal facilities and industry functions
  • Assists with preparation and review of various documents including reports, presentations, spreadsheets, internal/external correspondence, etc., ensuring accuracy and conformance to Company procedures
    • Assists with budget development, customer presentations, customer outing invitations, etc.
  • Relies on experience and judgment to plan and accomplish goals
  • Provides prompt, efficient and courteous service to both internal and external customers
  • Prepares and processes expense reports specific team members within the group
  • Orders office supplies and customer give aways for the entire commercial group
  • Answers telephone for executives within the group; forwards and handles other calls for the group as needed
  • Maintains regular attendance in accordance with Company policies
    • Is able to arrive at the office consistently as early as 7am
  • Demonstrates a high standard of safety and is willing and able to comply with all safety regulations and Company safety policies.
  • Complies with Company policies, procedures and practices
  • Distributes departmental incoming and outgoing mail
  • Performs other duties and tasks as determined by the Company to be in the best interest of the Company and customers served

Requirements:  

Education and/or experience, knowledge, skills and abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements for this position are listed below:

  • Proficient in MS Office Suite
  • Highly motivated individual capable of working independently and as part of a team 
  • Excellent attention to detail with ability to consistently provide accurate and timely work
  • Strong communication (both verbal and written) and interpersonal skills
  • Able to prioritize and manage multiple assignments and competing deadlines
  • Minimum of 2 years administrative experience at the corporate level
  • High School Diploma or equivalent

 

Preferred Qualifications:

  • Associates Degree and/or administrative certification preferred
  • Progressive experience supporting large groups, including support of senior level executives.
